Privacy Policy

This policy covers westorangedentalstudio.com and the signup forms we run on Facebook and Instagram. It doesn't cover your dental records. Once you're a patient, the information in your chart is protected health information under HIPAA and is handled under our separate Notice of Privacy Practices, which you'll receive at your first visit.

What we collect when you fill out a form

Our VIP List, new neighbor, and contact forms ask for your first and last name, your email address, your phone number, how you'd prefer to be contacted, how you heard about us, and anything you choose to write in the message box. Name and email are required. Everything else is optional, including the checkbox that asks whether you'd like appointment texts.

Please don't send us health details through these forms. We ask general questions on purpose, and the confirmation emails say the same thing. If you have something specific about your care to discuss, call or text us at (407) 205-2468 and we'll handle it directly.

What we collect automatically

When you arrive from an ad, a search result, or a link somewhere else, our site records the campaign tags in that link and the page you landed on, and passes them along with your form submission. That's how we know which of our efforts actually reach people. It tells us nothing about you personally, only where you came from.

We use Google Analytics to see how people find and move through this site: which pages get read, which links get clicked, roughly what part of the country a visit came from, and what kind of device it was on. Google sets cookies in your browser to make that work. It's how we tell whether an ad or a blog post is actually bringing people in, rather than guessing.

What Analytics shows us is aggregate. We can see that a page was read forty times last week, not that you were one of the forty. It isn't tied to your name, your email, or anything you send us through a form, and we don't use it to build a profile of you.

If you'd rather not be counted, Google publishes a browser add-on that opts you out of Analytics everywhere, not just here, at tools.google.com/dlpage/gaoptout. Most browsers can block these cookies too. Nothing on this site stops working if you do either one.

We don't run a Meta pixel or any advertising retargeting tracker on this website. If that changes, this section changes with it.

Cloudflare hosts this site and screens submissions for automated spam. In doing so it processes your IP address. That's a security measure, and we don't use those addresses for anything else.

The Smile Simulator

If you upload a photo to our Smile Simulator, that photo is sent to Google's image model, edited, and returned to your browser. It's processed in memory and we never store it. We don't see it, we don't keep it, and it isn't attached to any record. Please only upload photos of yourself.

Forms on Facebook and Instagram

We sometimes run VIP List signup forms inside Facebook and Instagram rather than on this website. Those forms are filled in with information already on your Meta profile, so you may see your name, email, and phone number prefilled. When you submit one, Meta passes that information to us and we treat it exactly like a signup made here, under this same policy.

Meta also keeps its own copy and applies its own privacy policy to it, which we don't control. If you'd rather not go through Meta, the form on our VIP List page does the same thing and doesn't involve them at all.

How we use what you send

To reply to you, to send you the confirmation email you're expecting, and to contact you when it's time to schedule. If you joined the VIP List, that means reaching out when our books open. That's the whole list.

We don't sell your information. We don't rent it, trade it, or hand it to data brokers. We don't add you to a marketing list you didn't ask to join.

Text messages

Text messages from us are opt-in only. You join by checking the text message box on one of our forms, by texting us first, or by telling us in person that you'd like appointment texts. That box is always optional: leave it unchecked and your form still goes through. Consent to receive texts is never a condition of care or of any purchase. Reply STOP to any message to end them, or HELP for help. Message and data rates may apply, and message frequency varies. Our SMS terms and conditions lay out the rest.

We will not share or sell your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your Personal Data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages.

All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Please keep texts to scheduling and general questions. Standard text messaging isn't a secure channel, so if you need to discuss something specific about your care, call us at (407) 205-2468 instead.

Who else handles it

Four companies:

Cloudflare hosts the website and screens out automated spam. Resend delivers our email, so your submission passes through them on its way to us and the confirmation email passes through on its way back to you. Google does two separate things: it runs the analytics described above, and it processes Smile Simulator photos. Those two are unconnected, and a photo never touches the analytics. Mango Voice runs our phone and text messaging, so if you opt in to texts, your phone number and your consent status are handled there in order to send the messages you asked for.

Beyond that, we share information only when the law requires it.

How long we keep it

VIP List signups stay with us until we've opened and had the chance to reach out to everyone on the list. Contact form questions stay in our email as long as we might reasonably need to refer back to the conversation. If you'd like us to delete your information sooner, ask and we will.

Your choices

Email us at hello@westorangedentalstudio.com and we'll tell you what we have for you, correct it, or delete it. There's no form to fill out and no waiting period beyond the time it takes us to read the message. Every email we send has an unsubscribe option, and leaving the VIP List costs you nothing but the spot in line.

Children

We treat this whole family, and we're glad to. But this website isn't meant for children to use on their own, and we don't knowingly collect information directly from anyone under 13. A parent or guardian should be the one filling out our forms. If you believe your child sent us something, tell us and we'll remove it.

Changes to this policy

If we change how we handle your information, we'll update this page and move the effective date at the top. Material changes get a plain description of what changed, not a quiet edit.
